A New Step in Digital Archive Management, IPB University Trials the Development of E-Office Archives System
IPB University held a trial of the E-Office Archives feature, an innovation in digital archive management. This innovation is a collaboration in the field of Archives and ICT in order to realize the implementation of digital archives effectively and efficiently.
The trial took place by inviting representatives from each work unit within IPB University. This activity was opened by the Chief of the Institute for Information Management and Digital Transformation (LMITD), Ir Julio Adisantoso, MKom and Deputy Head of LMITD, Dr. Syafitri Hidayati.
Ir Julio Adisantoso, MKom in his opening said that the joining of the Archives field as part of LMITD was a strategic effort of the institution to accelerate digital transformation within IPB University, including realizing efficient digital archive management.
“This innovation shows IPB University’s commitment in utilizing the development of information technology to improve Good University Governance. This step is expected to be a new milestone for the institution in managing archives in a professional, modern, and sustainability-oriented manner,” he said.
Dr Syafitri Hidayati added, the Archives feature in E-Office is a strategic step to face the challenges of limited physical archive storage space, while ensuring the efficiency of archive management according to technological developments.
“This system is designed with collaboration between ICT and the IPB University Archives team by prioritizing three aspects, namely ease of archive retrieval, preservation or preservation of documents, and utilization of archives as a source of information,” she explained.
The trial participants were guided by Lina Herlina Tresnawati SKomp, MKom as Assistant for Digital Archives and Museum Management. Participants received comprehensive technical guidelines regarding all archival features present in E-Office.
Implementatively, all participants were actively involved in the trial process and also conveyed input / constraints related to archive management both conventionally and physically.
During the trial of the E-Office Archives feature, Lina Herlina emphasized that through this system, all archive managers within IPB University can manage their work unit archives in an integrated manner from creation by the work unit to depreciation by the archiving unit II and the Higher Education Archives Institute (LKPT).
