IPB University Introduces IPB Archive Center and Archives Platform
IPB University Digital Archives introduces IPB Archive Center and Archives platform, 1/9. IPB Archive Center is a static archive storage space designed to meet the needs for protection, maintenance and care of both textual and non-textual archives. The IPB Archive Center is located in Building A of the IPB University Library. This room is equipped with an internet of things-based temperature and humidity measurement sensor system. Thus, monitoring the condition of the Archive Center can be carried out through the IPB Archive Center’s “Smart Life” intelligent communication which is connected to the smartphones of IPB University Digital Archives staff.
Julio Adi Santoso, Chairman of the Institute Information Management And Digital Transformation Center (LMITD) IPB University, explained the importance of using technology in managing today’s archives. “Conventional archive storage centers can be converted into data centers that guarantee information retrieval and traceability so that they are relevant to digital archive management,” he said
Secretary of the Board, IPB University, Prof Agus Purwito welcomed the digital transformation process in managing IPB University archives. “The physical construction of buildings, changes in work culture, and the use of the latest technology are the keys to managing important and historic archives for IPB University,” said Prof Agus Purwito.
Gradually, he said, development and strengthening of archival human resources to face future challenges needs to be prepared consistently. “It is necessary to pay attention to the archives of legal decisions, asset documents and development maps of IPB University so that they can be stored and easily accessed again,” he concluded.
Assistant of Digital Archives and Museum Management, Dr Syafitri Hidayati, explained that the IPB Archive Center currently preserves textual and non-textual archives from the Rector and Vice Rector, faculties, historical archives, as well as archives from other work units. She explained that every archive that is processed is then converted into a digital file using a scanner.
In scanning archives, she said, the thing to pay attention to is the continuity of access from the media transfer process carried out as well as the authenticity of the archive. To ensure the authenticity of digital files being transferred, this is done by providing watermarking and an embedded certificate which can be verified via the digisign.ipb.ac.id portal.
“Important archives with historical value are physically stored permanently at the IPB Archive Center, while digital files are also available to be accessed by the public via the archivedia.ipb.ac.id platform,” said Dr Syafitri.
She explained, Archives is a one stop gate for access to IPB University’s valuable archival collections. Archives is committed to maintaining the readiness of documents, photos, audio and video permanently to ensure the continuity of information. (*/ra) (IAAS/MFR)
